Conditions for participation in the 18th IAOS Conference (Kraków, 26 – 28 April 2022).

I. General provisions

  1. The Organizers of the 18th IAOS Conference (Kraków, 26-28 April 2022), hereinafter referred to as the “Conference”, are the Statistics Poland and the International Association for Official Statistics (IAOS), hereinafter referred to as the “Organizers”.
  2. The Conference will be held in April 26-28, 2022 in Kraków, Poland.
  3. The language of the Conference is English.
  4. The subject-matter aspect of the Conference is supervised by the Scientific Committee appointed by the Organizers.
  5. All dates contained in the Regulations are obligatory and non-exceedable, unless the Organizers decide otherwise, of which they will notify the Participants.
  6. The Organizers reserve the right to make changes to the programme and these Regulations, and to change the date of the Conference or cancel it.
  7. If the Conference is cancelled, the Organizers undertake to notify the registered Participants by e-mail, no later than 5 days before the scheduled start date of the Conference.
  8. The Organizers may record video and sound from the Conference for documentation, reporting and promotional purposes of the Conference and the Organizers.

II. Terms and conditions of participation

  1. The condition for participation in the Conference is registration by 15 April 2022 using only through the official registration system available on the Conference website.
  2. Following the organisation rules of previous IAOS conferences, the registration fee (applying to all Participants) is a necessary condition to take part in the Conference.
  3. Confirmation will be sent by e-mail to fully paid Conference attendees using the e‑mail address(es) provided on the registration form.

III. Registration and conference fees

  1. All Participants including session chairs, speakers and discussants must pay the registration fee.
  2. Registration fee includes: participation in the scientific programme of the Conference, lunches and coffee-breaks, participation in the welcome reception on 26 April and the official dinner on 27 April, Conference materials, free Wi-Fi service in Conference premises, access to the Conference app that can be downloaded to mobile phones.
  3. Registration does not include such things as travel and accommodation. Delegates are responsible for arranging their own travel and accommodation.
  4. Fees are subject to the date of registration, registrant’s membership status and type and Participant’s country.

  1. Early bird fees apply until 27 March, 2022.
  2. Authors of contributed papers (CP) are kindly requested to register by 27 March, 2022. Otherwise, their contributions will not be included in the Conference programme.
  3. Registration ends on 15 April, 2022.
  4. Registrations are accepted only through the official registration system available on the Conference website.
  5. Registrations will not be entered into the system and considered valid until payment in full has been received by the Organizers.
  6. The Organizers must receive payment within 5 calendar days after submission of the registration for it to be accepted into the registration system as submitted and participation in events secured. Should payment not be received within the prescribed time period, the registration will be nullified and bookings in events opened up to other delegates. It does not apply to the Participants sponsored by the grant who received an official confirmation from the Conference Organizers.
  7. Conference registration cancelled on or before 27 March, 2022 is refundable but subject of 25% administrative fee.
  8. Conference registration cancelled between 28 March and 15 April is refundable but subject of 50% administrative fee.
  9. There are no refunds possible after 15 April, however a substitution from the same organization is possible at any time prior to the Conference at no charge.
  10. All cancellations must be received in writing by e-mail iaos2022@iaos2022.pl.
  11. No-shows are not eligible for refunds.
  12. Conference fees can be paid only with bank transfer.

In the transfer order the Participant should indicate her/his full name and country.

  1. Accompanying persons do not participate in the Conference sessions and their registration fee includes: participation in the welcome reception on 26 April and the official dinner on 27 April. In case of accompanying persons a separate transfer is recommended mentioning „ACCOMPANYING PERSON of + Participant’s full name”.

IV. Sessions

  1. The venue for the sessions will be determined by the Organizers and will be announced to the Participants on the Conference website.
  2. The Organizers do not plan remote and pre-recorded presentations.
  3. Session discussions are held at the discretion of the Chair.
  4. Presentations should be uploaded to the CP proposal form by the authors or to the IPS proposal form by the IPS organizers. In both cases in the format specified by the Organizers and using a unique link to a specific form, provided by e-mail by the Conference Organizers. Deadline for submission of presentations is 15 April 2022.
  5. In exceptional cases, Participants will be allowed to bring their presentations (in the format specified by the Organizers) to the IAOS 2022 Secretariat Room on the venue’s ground floor at least 2 hours before session starts.
  6. The Organizers do not guarantee the display of the presentation prepared by the Participant if the Participant fails to deliver his/her presentation in the manner specified in items 4 or 5.
  7. The Participant assumes full responsibility for all materials and statements made by him/her during the Conference.
  8. All session rooms are equipped with: a screen, projector, laptop. Technical suport will be provided.
  9. Each speech during a CP session should not exceed 12-15 minutes, unless the Chair of the session decides otherwise.
  10. The flow of a IPS session is entirely up to the chair and the organizer of this session.

V. Image and license

  1. The registration for the Conference is synonymous with acknowledging that the use of the Conference Participant’s image, in accordance with Article 81 par. 2 of the Act of 4 February 1994 on copyright and related rights (Journal of Laws of 2021, item 1062), does not require permission.
  2. The Participant agrees to their image being recorded in the photographs, films or voice recordings of the Conference to be disseminated by the Organizers free of charge for the purpose of documenting the course of the Conference, including its use in promotional materials and publications in the media of the Conference, as well as other promotional materials of Statistics Poland, without any territorial and time limitations, by means of reproduction, public displaying, streaming and sharing in such a way that everybody can access it in a place and time chosen by themselves, including the Internet.
  3. The Participant gives his/her consent for the Organizers to process his/her personal data, that is to record and publish, free of charge, his/her image and statements recorded during the Conference, including marking statements with his/her name and surname, as well as placing recorded statements on the Organizers’ websites and social networking sites for promotional, educational and science popularization purposes.
  4. In his/her statement, the Participant of the Conference shall grant the Organizers a non-exclusive and royalty-free license to use his/her image and voice as well as the content of the presented paper recorded during the Conference, including marking his/her statements with his/her name and surname, in the following fields of exploitation:

   1) In terms of recording and reproduction – production, recording by any technique, including in particular: magnetic recording technique, light sensitive, audiovisual, digital, optical, computer regardless of the format and medium, size, form and technique;

   2)   As regards dissemination – public display, streaming, as well as sharing in such a way that everyone can have access to it at a place and time of their own choice, including the Internet and other teleinformatic, multimedia and computer networks, in particular the Organizers’ websites.

  1. In connection with the granting of the license – the Participant assures that the use of his/her image and voice and the content of the presented paper in the scope presented above will not violate anyone’s rights, in particular intellectual property rights, and does not require any permission from a third party. The Organizers inform that the image of the Participant will not be distributed with information or comments putting the Participant in a negative light.
  2. The Participant waives all claims (existing and future), including those for remuneration against the Organizers, due to the use of his/her image/voice/speech for the purposes specified in the Regulations.

VI. Protection of personal data

In connection with the implementation of the requirements of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and the repeal of Directive 95/46/EC (General Data Protection Regulation), hereinafter referred to as “RODO”, the Organizers inform about the principles and the Participants’ rights related to the processing of personal data, described in detail in the document „INFORMATION CALUSE. INFORMATION REGARDING THE PROCESSING OF PERSONAL DATA IN CONNECTION WITH THE IAOS 2022 event” available in the registration form.

VII. Sanitary requirements

  1. The Organizers oblige the Participants to read the safety conditions being in force at the time of the Conference website.
  2. The Participants are required to follow safety rules.
  3. The Participant is obliged to use the ID badge issued by the Organizers for the entire duration of the Conference. It is forbidden to give or make the ID badge available to other persons. In case of losing the ID badge, this fact must be reported to the Organizers.
  4. In the case of changes in regulations concerning specific restrictions, orders and prohibitions due to the state of the epidemic causing the Participant will be informed about the changes both before the Conference and during it.

VIII. Vendors

  1. During the Conference the participation of Vendors is allowed.
  2. Any registered Participant can become a Vendor if they report this fact to the Organizers by 15 April, unless the limit of available places for Vendors is exhausted.
  3. The subject of the exhibition must relate to the theme of the Conference.
  4. The exhibition stands are only available and operated by registered Conference Participants.
  5. Unregistered people are not allowed to enter the Conference venue.
  6. Each Vendor has space at their disposal 3 square metres with 1 table and 3 chairs.
  7. The Organizers introduce a ban on promoting commercial services not related to statistics during the Conference.
  8. The location and hours of the exhibition must be agreed with the Organizers and cannot be changed.
  9. The Vendor is fully responsible for damage to property on the premises where the Conference is held.
  10. The Vendor bears full responsibility for all materials and information presented by him during the Conference.
  11. The Vendor is obliged to ensure that all statements and presentations made by him/her during the Conference do not violate the law or the rights or personal interests of third parties.

IX. Final provisions

  1. The Organizers set the programme of the Conference and have the right to make changes in it, also on the day of the Conference, including the right to change the time schedule and order of speeches.
  2. The Organizers are not responsible for technical or organizational problems of Participants related to participation in the Conference resulting from causes beyond the control of the Organizers.
  3. The Participant bears full responsibility for all materials and information presented by him during the Conference. The Participant is obliged to ensure that all statements and presentations made by him/her during the Conference do not violate the law or the rights or personal interests of third parties.
  4. The Participant undertakes to comply with these Regulations, Safety Procedures, social rules, instructions and organizational and technical instructions of the Organizers.
  5. The Participant is obliged to mark his/her participation in the Conference by giving his/her full name. The Participant is obliged to provide true, identifying personal information.
  6. The Participant is fully responsible for damage to property on the premises where the Conference is held.
  7. Polish law applies to matters related to the organization of the Conference.
